Using Club Helm

How to sign in, book a boat, join activities, and pay dues — and, if you administer a club, how to run membership, boats, and billing. Written for whichever role you sign in as.

Starting your own club

New clubs

Not joining a club that's already on the platform — starting a brand-new one? From the sign-in screen, choose Start your club (or go straight to /start on the platform's main address, not any one club's subdomain).

  1. Fill in your club's name, subdomain (this becomes its own web address, e.g. yourclub.clubhelm.online), timezone, currency, and units.
  2. Fill in your own name and email — this is who becomes the club's chief administrator.
  3. Tap Create your club.
TIP

This is instant — no approval or waiting period. You're the chief admin the moment it's created: full access to members, boats, billing, and every other admin setting for your club, and nobody else's.

NOTE

Check your email for a link to finish setting up your account and choose a password. If that email already has an account on the platform — say, you're already a member of another club — you're told to sign in with your existing password instead; a second account is never created for the same email.

Requesting to join a club

New members

Want to join a club that's already on the platform? Go to that specific club's own web address with /join added (e.g. yourclub.clubhelm.online/join) — or follow the "Request to join" link on that club's own sign-in page. Fill in your name, email, and an optional message, then tap Request to join.

NOTE

This doesn't create an account right away — your request goes to that club's admins as Pending. You'll get an invite email once someone approves it; there's no separate notification if it's rejected.

TIP

Already a member of a different club? Requesting to join a second club under the same email works exactly the same way — once approved, you're a member of both, and can switch between them after signing in (see Switching clubs).

Signing in

Everyone

Sign in with your email and password from /login — either a specific club's own subdomain, or the platform's main address if you're not sure which club's address to use; email identifies you either way. Every password field has a small eye icon to reveal what you've typed before you submit.

If your email belongs to more than one club, signing in shows you a chooser instead of dropping you straight into one — unless you're already on the subdomain of one of your clubs, which is used as a shortcut.

TIP

Forgot your password? Use the reset link on the sign-in screen. You can sign out any time from the icon next to your name in the sidebar.

NOTE

For safety on shared club computers, closing your browser signs you out — there's no separate "stay signed in" option. Your browser should offer to save your password the first time you sign in or set one, so signing back in on your own device is still quick; if it doesn't ask, check your browser's own password-saving setting (Safari and some older browsers don't support this).

Your dashboard

Everyone

Your dashboard is a set of boxes: your upcoming reservations (as skipper or as crew) and upcoming activities you're signed up for, current weather at your club's home location, upcoming club activities, how many open slots are on the fleet in the next 7 days, and — if you've skippered a race — your last race result and current series standing.

TIP

Use the up/down arrows on each box to reorder your dashboard — the order you choose is saved to your own account, so it stays that way the next time you sign in.

Browsing & reserving a boat

Everyone

Open Reservations to see the fleet for a given day. Filter by date, sail duration, or minimum crew size from the filter bar at the top. Each boat renders as a day-timeline: a row of colored blocks for a boat with fixed time slots (e.g. Morning/Midday/Afternoon), or one continuous strip for a boat with an open calendar and no predefined blocks.

What each color means

The My Reservations tab lists everything you're on, past and upcoming, as skipper or crew. The Rules tab explains your club's own reservation policies.

NOTE

A skipper, crew member, or admin gets an email whenever something changes on a reservation they're part of — crew joining or leaving, a skipper claiming an open slot, or a cancellation.

Weather & conditions

Everyone

Weather & Conditions in the sidebar shows current conditions and a 7-day forecast for your club's home location — temperature, wind speed and gusts, and general conditions. A compact version of the same forecast for whichever day you're currently browsing also shows right on the Reservations page, above the fleet.

NOTE

An admin with branding permissions sets the club's home location once from the Weather page; until that's done, the weather strip and page don't show anything.

Racing & standings

Everyone

Racing & Standings in the sidebar shows season, series, and regatta standings for every racing class your club runs, ranked by total points (lowest wins — standard low-point sailboat racing scoring). Pick a class tab if your club races more than one.

If you've skippered a race, your dashboard also shows a quick summary — your last race's result and where you currently stand in that race's series — with a link straight into the full standings.

Crew sign-up & waitlist

Everyone

On an open slot that already has a skipper, tap it to open the reservation and tap Join as crew — or Leave crew if you change your mind before the sail. If crew slots are already full, you're added to a waitlist instead of turned away outright.

TIP

Waitlists are strictly first-come, first-served — if a crew spot opens up, the next person in line is promoted automatically and doesn't need to do anything.

Activities

Everyone

Browse upcoming activities and tap one to sign up. If it's a potluck, add what you're bringing; if you're bringing anyone with you, set your guest count. If it's already full, you're placed on a waitlist and promoted automatically if a spot frees up — your guest count is counted too, not just a headcount, so you're only promoted into a slot that actually fits everyone with you.

Billing

Everyone

My Billing shows your balance due and every invoice you've been issued. Pay now only becomes available once your club has connected its own Stripe account — until then, invoices are tracked here but payment happens outside the app, however your club currently handles it.

NOTE

Once payment is available, charges go directly to your club's own bank account via Stripe — never pooled with any other club, and never held by the platform itself.

Switching clubs

Members of more than one club

If your email is a member of more than one club, a club switcher appears in the sidebar — pick a club from the dropdown and tap Switch club to move your whole session there. Everything you see afterward — reservations, billing, and members/boats/season if you administer that club too — is scoped to whichever club you've switched into.

Booking a boat & crew requirements

Skipper

Only a member who's passed the skipper test can start a reservation from scratch. Tap an open slot and Book this slot. You'll set:

Changed your mind, or the sail's off? Open the reservation and tap Cancel reservation.

NOTE

If you marked the sail as requiring spinnaker experience, a person without a qualifying certification who tries to join as crew is turned away with a message to ask you. Open the reservation yourself and you'll see an Add crew without spinnaker experience picker — pick them and tap Add anyway to add them regardless. The requirement is a default you set, not an absolute rule, so only you (as this reservation's skipper) can waive it.

Checking a boat out & back in

Skipper

Open your reservation and tap Check out when you're heading out. If your club has a pre-sail checklist set up, work through it first — mark each item OK, or Flag issue with a quick note if something's actually wrong. A flagged item automatically opens a maintenance issue for that boat, so it doesn't just sit in a form nobody sees.

When you're back, open the reservation again and tap Check in — add condition notes if anything came up during the sail.

NOTE

A boat left checked out well past its reservation's end time shows up on an overdue banner for admins — this is a safety check, not a scolding, so check in as soon as you're back.

Crew-first reservations

Everyone, if your club allows it

Some clubs let a member who isn't a skipper yet start filling a boat as crew before any skipper has claimed it — ask your admin whether your club has this turned on. If it does, an open slot shows a Start as crew option even if you're not a skipper. Any qualified skipper can Claim as skipper later, at which point it behaves exactly like a normal reservation from then on.

NOTE

If nobody claims it before the deadline your club has set, it's automatically cancelled and everyone who signed up as crew is notified that the sail isn't happening.

Managing members

Admin · manage members

The Members page lists everyone in your club. Change someone's Status (Active/Suspended/Lapsed), Skipper flag, or membership Tier directly from the dropdowns in their row — it saves on its own a moment after you stop editing, no separate save button.

  1. Tap Add member.
  2. Fill in their name and email.
  3. Tap Add member again to send the invite.

They get an email to set their own password. If that email already has an account on the platform, they're told to sign in with their existing password instead — nothing new is created for them.

NOTE

If your club has a membership cap set (see Season configuration) and is already at it, a new invite lands on the waitlist instead of going out immediately.

Reviewing join requests

Admin · manage members

Anyone who requested to join your club from its own /join page shows up in the collapsible Join requests section at the top of Members, with their name, email, and any message they left.

ApproveProvisions their membership exactly like adding a member by hand — including the membership-cap check above, so a request that comes in while you're full lands on the waitlist rather than getting an instant invite.
RejectDeclines the request. No email is sent either way.

Membership waitlist

Admin

Only appears once your club has a membership cap set (see Season configuration) and has actually reached it. Lists everyone waiting, strictly first-come, first-served. When an existing member's status moves to Lapsed, the next person in line is automatically sent a real invite.

Certifications & the skipper test

Admin · manage members

The Manage certification types section on Members lets you define which certifications your club accepts (e.g. US Sailing Basic Coastal Cruising, ASA 103) and whether each one counts toward the skipper-test prerequisite, toward spinnaker experience, both, or neither — a club might accept a US Sailing cert, an ASA cert, and its own internally-run "Spinnaker Certified" type side by side, all counting toward the same requirement.

From an individual member's own detail page (tap their name from the roster), log a certification they hold, or record a skipper test attempt. Written and practical results are tracked — and retaken — independently; a member only needs to redo the half they failed. Passing both flips them to Skipper.

Managing boats

Admin · manage boats & reservations

The Boats page lists your fleet. Add boat asks for a name, class (e.g. "J105," "Sonar"), capacity, home dock, default max crew, and an availability mode.

Fixed slotsA short ordered list of time blocks — label, start, end — that a reservation must occupy exactly one whole one of. A common pattern: Morning 9:00–12:00, Midday 12:30–4:00, Afternoon 4:30–7:00.
Open calendarA single operating-hours window (e.g. 8:00–7:00) that a reservation can be any interval within — no predefined blocks.

Toggle a boat's Maintenance status to Out of Service to block new reservations against it until you switch it back — separate from the Active checkbox, which hides a boat from the fleet grid entirely (a boat in winter storage, say).

Fleet grounding

Admin · manage boats & reservations

For conditions that ground the whole fleet at once — lightning, a named storm — rather than one boat at a time. From Reservations, tap Ground the fleet, give a reason, and confirm. Every boat that isn't already individually Out of Service immediately shows as Grounded and stops accepting new bookings, on the grid and in Find a match alike. Existing reservations aren't cancelled — sailors can still claim or join ones made before the grounding.

Lift it the same way, with Lift grounding on the same banner, once conditions clear. There's no auto-expiry — a grounding stays in effect until an admin explicitly lifts it.

NOTE

If your club sets a wind-gust advisory threshold (see Season configuration), crossing it on a given day's forecast shows an advisory banner suggesting a grounding — but it only ever suggests. Grounding the fleet is always a deliberate, admin-confirmed action, never automatic.

Maintenance issues & the pre-sail checklist

Admin · manage boats & reservations

From Boats & Maintenance, Manage pre-sail checklist sets the items every skipper works through at check-out (PFDs on board, fuel level, whatever your club actually checks) — add or remove items any time.

Maintenance issues lists everything currently open: issues a skipper flagged during check-out, and anything reported directly with + Report an issue (any member can do this, not just admins). Each shows the boat, severity, description, and who reported it — tap Resolve once it's dealt with.

NOTE

Marking an issue Boat Unusable — whether reported directly or flagged during check-out — automatically takes that boat out of the reservation pool (the same Out of Service state you can also set by hand from the boat's own row) until an admin resolves the issue.

Season configuration

Admin · manage billing

Club-wide settings that shape dues, the skipper path, and fleet safety:

Membership tiersEvery club has one General tier every new member starts on; add a specialty tier (e.g. a club's own J105-style program) with its own annual dues, monthly-or-annual billing frequency, and season end date.
Skipper-test cooldownHow many days must pass before a failed written or practical attempt can be retaken.
Membership capOptional. Once your active member count reaches it, new sign-ups and invites land on the waitlist instead.
Wind advisory thresholdOptional. When a day's forecast gusts cross this number, admins see an advisory banner on Reservations suggesting a grounding. Leave blank to turn it off.
Overdue grace periodOptional. A boat still checked out this many minutes past its reservation's end time shows up on the overdue-boats banner for admins on Reservations. Leave blank to turn it off.

Regatta block reservations

Admin · manage boats & reservations

From Reservations (this form only appears if your admin account has this permission), block-reserve a boat for a whole season on a recurring or fixed-date-range basis, with a skipper you assign — e.g. "every Wednesday, skipper Maria, through October."

TIP

Submitting generates one reservation per matching date (and per time slot, for a fixed-slot boat), then reports how many were created and which dates were skipped because something was already booked there — a handful of conflicts don't block the rest of the season from being scheduled.

Managing racing

Admin · enter race results

From Racing & Standings, set up the pieces in order: classes your club races (one-design or PHRF — most clubs only need one), a season and its series (e.g. "Wednesday Night Series," with how many worst finishes get discarded), then regattas and the individual races within them — either tied to a series, or standalone for a one-off event.

Every series (and every standalone regatta) has its own entries roster — which boat and skipper is racing, per class, plus a PHRF rating if the class is PHRF-scored (a boat provides its rating to the race committee at the start of the season/regatta, so it's entered here rather than being fixed to the boat). Setting up a new roster from scratch every time gets old fast — use Copy roster from… to duplicate an existing series or regatta's entries instead of retyping the same boats and skippers.

Once a race exists, Enter results lets you record each boat's finish. Everything here is exactly what you'd write on a scoresheet: start time, finish time, race time, and — for PHRF classes — corrected time, plus DNC/DNS/DNF/DSQ/OCS/RET for anyone who didn't finish normally. The app doesn't clock or correct anything itself; it just ranks whoever finished by race time (or PHRF time) and works out place and points from that. Standings recompute immediately; correcting a result later updates every standing it rolls up into automatically.

NOTE

A regatta can optionally belong to a series and also has its own discard count — so a multi-day regatta with several races can discard its own worst finish before that regatta's total rolls into the series. A regatta that's part of a series shares that series' roster; only a standalone regatta needs its own.

Billing admin & Stripe Connect

Admin · manage billing

Generate this period's dues creates one invoice per member per membership tier for the current billing period. Safe to run more than once — anyone already billed this period is simply skipped, not double-charged.

For dues collected outside the app, resolve an invoice by hand with Mark paid or Waive next to it in the outstanding-invoices list.

Connecting Stripe

Connect Stripe starts your club's own Stripe Connect onboarding — Stripe's own hosted identity/business verification, not a form inside this app. Until it's complete, members see a banner that online payment isn't set up yet, and Pay now isn't available to them.

NOTE

Every charge is created against your club's own connected Stripe account — money lands directly in your club's own bank account on Stripe's normal payout schedule, never pooled with any other club or held by the platform.

Provisioning clubs

Platform Admin

Platform Admins manage the list of every club on the platform from their own console, separate from any one club's own login. From there, provision a new organization by hand — name, subdomain, timezone, currency, units — and set its chief admin, the same end state a club owner reaches on their own via Start your club, just done on their behalf (useful for white-glove or sales-assisted onboarding).

Support mode

Platform Admin

A Platform Admin can enter a specific club's data to help troubleshoot something, but only as an explicit, time-boxed action taken from that club's own detail page in the console — never silent, standing access, and always recorded in that club's own audit trail.

Reference
Why can't I book a boat as crew directly?
Only a qualified Skipper can start a reservation from scratch. Everyone else joins as crew on one a skipper's already started — or, if your club allows it, starts one as crew before a skipper's claimed it. See Crew-first reservations.
I requested to join a club and haven't heard back — what happens?
Your request sits Pending until that club's admin reviews it. There's no automatic timeout or expiry — reach out to the club directly if it's been a while.
Can the same email be a member of two different clubs?
Yes. It's one login, with any number of club memberships attached to it — see Switching clubs.
Why don't I see a "Pay now" button on an invoice?
Your club hasn't finished connecting its own Stripe account yet — ask an admin with billing access, or see Billing admin & Stripe Connect.
I'm an admin — why can't I see a page other admins have?
Admin access is built from individual permissions, not one all-or-nothing role — you only see the sections your account has actually been granted (managing members, billing, boats, and so on). Ask your club's chief admin to check what's assigned to your account.
Why did approving a join request or invite fail with an email error?
The invite couldn't actually be delivered to that address — double-check it's spelled correctly and is a real, reachable inbox before retrying.
Can I access this on my phone?
Yes — it's a normal web page, so it works in your phone's browser without installing anything. Sign in the same way as on a computer.
